Privacy Policy

Last updated: 25 October 2026

This policy explains how Unity 4 Performance Ltd ("we", "us"), Unit 3, Mile End Business Park, Oswestry, SY11 4JF, uses your personal information when you visit our website, use the Unity 4 app, or train with us. We are the data controller. Questions or requests: hello@unity4performance.co.uk.

What we collect

  • Account details: your name, email address, the nickname you choose for the whiteboard and, if you add one, your profile photo.
  • Membership and payments: your plan, bookings, check-ins, shop tab and orders. Payments are handled by Stripe: we never see or store your card or bank details.
  • Training: scores and personal bests you log, how a workout felt, and mobility sessions you complete.
  • Health questionnaire (PAR-Q): your answers and any details you give, so coaches can help you train safely. This is health information, which we only collect with your explicit consent.
  • Agreements: the policies you've signed, with your typed name and the date.
  • Door access: when you book Open Gym we create a temporary door code; we keep a log of when the app's door button is used, and by whom.
  • Website enquiries: the name, phone number, email and message you send us, and how you found us (for example a Google search or an ad).
  • Website analytics: only if you accept cookies, Google Analytics records how the website is used (pages visited, buttons pressed, device type) and Microsoft Clarity records how pages are used (clicks, scrolling and anonymous replays of visits; anything typed into forms is hidden). You can change your choice using "Cookie settings" at the bottom of every page.
  • Postal address: only if you choose to have a merch order posted.

Why we use it, and our lawful basis

  • To run your membership (bookings, payments, check-in, door access, emails about your classes): this is necessary for our contract with you.
  • To keep you safe (your PAR-Q and agreements): your explicit consent for health information, and our legitimate interest in running a safe gym.
  • To run and improve the gym (attendance reports, reminders, the whiteboard and community features such as the Committed Club): our legitimate interests. You can hide yourself from the whiteboard and choose whether others see your photo.
  • Marketing photos and videos: only if you say yes. You can change your mind at any time.
  • Analytics cookies: only with your consent.
  • Financial records: to meet our legal obligations (for example to HMRC).

Who we share it with

We use trusted service providers who process data on our behalf, under contract:

  • Supabase – our app's database and file storage (hosted in London, UK).
  • Stripe – payments.
  • Resend – app emails (sign-in codes, booking messages, receipts).
  • Cloudflare – website hosting.
  • Nuki – our door lock: we send a door code and a short name (such as "U4 Dan S") for your booked Open Gym time.
  • Google – website analytics (only with your consent).
  • Microsoft – Clarity website analytics (only with your consent).
  • PushPress – our previous membership system, while we move over.

We also use Anthropic's Claude AI to help write training programmes and our weekly blog; no member personal information is sent to it. We never sell your information. Some providers may process data outside the UK; where they do, they use legal safeguards such as the UK's approved data transfer agreements.

How long we keep it

  • Account, training and booking information: while you're a member, and deleted or anonymised within 2 years after you leave.
  • Signed agreements and PAR-Q answers: for 3 years after your membership ends (the time limit for injury claims). PAR-Q answers are renewed every 12 months.
  • Payment and financial records: 6 years (HMRC).
  • Website enquiries and door logs: 12 months. Temporary door codes: 3 months.
  • Postal addresses for merch: 90 days after your order is posted.

Your rights

You can ask to see the information we hold about you, correct it, delete it, restrict or object to how we use it, or receive a copy to take elsewhere. Where we rely on your consent, you can withdraw it at any time. Email hello@unity4performance.co.uk and we'll reply within one month.

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office: ico.org.uk, 0303 123 1113.
